Packing slips reach the ERP without being typed again.

The document is read, compared with the order, and entered. What doesn't match goes to a person; the rest goes through on its own.

Today

The same line, typed three times.

A packing slip passes through three pairs of hands before it exists in the ERP: whoever receives it, whoever forwards it, whoever re-keys it. Each hand-off adds a delay and a chance of error — and the gap between what was ordered and what was delivered ends up surfacing on the supplier invoice, six weeks later.

  • Packing slips photographed, emailed, sometimes never received
  • The same item re-keyed into the ERP, with the occasional error
  • An order-delivery gap discovered on the supplier invoice
  • Someone whose job has become data entry
What it does

The document is read, the gap is flagged.

The note arrives photographed from the dock or dropped in as an attachment. Its lines are read, matched against the order — quantity ordered, quantity delivered, gap — then sent to your ERP in the format it expects, by API, EDI or file.

So the gap is flagged the same day, with the truck still at the dock, rather than at invoice reconciliation.

  • The note photographed on the dock, attached to its order
  • Lines matched: quantity ordered, quantity delivered, gap
  • The entry sent to the ERP in its format, with no double entry
  • The original document kept and findable, months later
The confidence threshold

Anything doubtful waits for a human, and is never guessed.

Automatic reading runs around 95% on a printed, well-scanned document, and considerably lower on handwriting or a skewed scan. So we don't claim to remove the human: you set the confidence level below which a line waits for approval, with the document shown beside it.

Even then the gain isn't zero on those lines: they arrive pre-filled and attached to the right order, and only need confirming.

  • Around 95% read rate on clean print, lower on handwriting
  • The confidence threshold is your decision, not ours
  • Below the threshold, the line is shown with the document beside it
  • The ERP stays the system of record: we talk to it, we don't replace it

FAQ

The questions we get asked about this.

And if yours isn't here, ask us directly.

Is automatic reading reliable?

On a clean printed and scanned document it runs around 95%. On handwriting or a crooked scan, far less. That is why nothing is guessed: below the certainty threshold you set, the line waits for human confirmation.

Do we have to change ERP?

No. The app sends it what it expects, by API, EDI or file, depending on what it accepts. It stays the system of record; we remove the manual entry that feeds it.

What about handwritten documents?

They go through human confirmation, with the document shown next to the form. The gain isn't zero: the line is pre-filled and filed with the right order, all that's left is to confirm.

What happens to the original document?

It is kept and attached to the order. The day a supplier disputes something, you open the original instead of digging through an inbox or a binder.

How long before it pays for itself?

That is worked out before we start, with your figures: notes per day, entry time, loaded hourly cost. If the numbers don't add up, we say so rather than sell the module.
