The schedule holds, and the hours reach payroll.

Services, split shifts and extra staff in one place, hours counted as they happen, and payroll data ready for your accountant.

Today

The schedule lives on a whiteboard, and the hours in people's heads.

A shift schedule changes several times a week: that's the job. What costs is that none of those versions is written down anywhere reliable, and that the hours actually worked are never compared with the ones planned — except once a month, when payroll has already gone out.

  • The schedule changes three times a week, and nobody has the latest version
  • Actual hours drift from the plan without anyone knowing by how much
  • Extras and fill-ins are tracked case by case
  • Payroll data is gathered the day before closing
What it does

A current schedule, hours counted once.

The shift schedule, split shifts included, is visible on the phones of the people working it, and the latest version is the only one: a schedule pinned up in the stockroom is current only for whoever wrote it. Everyone clocks in on site, timestamped and kept.

Extras and fill-ins go into the schedule and the count like everyone else, with the distinction payroll needs. That's usually where the hours go missing.

  • The shift schedule, split shifts included, current for everyone
  • Clocking in on site, timestamped and kept
  • Extras and fill-ins tracked like everyone else
  • Payroll data exported in the accountant's format
Planned against actual

A service that cost two hours more shows up on Monday.

Not at the end of the month, when payroll has already gone out. Actual hours are compared with the plan service by service, which shows which services routinely overrun and lets you adjust next week's schedule instead of noticing the gap on the pay stub.

Across several sites, each keeps its own schedule and management sees the whole; someone working two sites clocks in at the one they're at, and their hours split themselves.

  • Planned against actual, service by service
  • Several sites, one overall view for management
  • The export agreed with your accountant, on a test month
  • We don't run payroll: it stays with your accountant

FAQ

The questions we get asked about this.

And if yours isn't here, ask us directly.

Do you run payroll?

No. Payroll stays with your accountant or your vendor. We prepare what they expect: correct hours, complete bonuses and absences, in their format, on time.

Is clocking compliant?

The FLSA requires an accurate record of hours worked, without prescribing the method. A timestamped record on the phone, kept and exportable, meets that duty; some states add their own rules.

How does the team see the schedule?

On their phone, with the latest version and its changes. A schedule you have to walk to the stockroom to read is only current for whoever wrote it.

What about extra staff?

They go into the schedule and the count like everyone else, with the right distinction for payroll. That is often where hours go missing.

Does it handle several sites?

Yes, with separate schedules and an overview for management. Someone working across two sites clocks where they are, and their hours split by themselves.
